Post the shift schedule once. Everyone's calendar updates.
Store and restaurant managers build the weekly schedule in a spreadsheet because it is fast. Then the team asks "when am I working?" all week. Calgrid turns each row into a Google Calendar event on a shared team calendar, and keeps both in sync when shifts change.
An example sheet
| Title | When | Where |
|---|---|---|
| Opening shift: Maria | Mon 7:00 to 15:00 | Main St Market |
| Closing shift: Jake | Mon 14:00 to 22:00 | Main St Market |
| Produce delivery | Tue 9:00 to 10:00 | Back dock |
| Inventory count | Thu 18:00 to 21:00 | All hands |
How it works
- Write the week's shifts in a sheet: one row per shift, with start and end times.
- Extensions → Calgrid → Connect a calendar. Use a shared calendar like "Store schedule".
- Shifts appear for the whole team. A swap made in Calendar ("Sam covers Jake") fixes the sheet automatically.
Questions
Can each employee see only their shifts?
Use one calendar per person or put the name in the title and let people search. Many teams simply share one schedule calendar.
What happens if I delete a shift?
Delete the row and the event is removed. If more than five events would be deleted at once, Calgrid asks first.
Does it work with a template?
Yes. Extensions → Calgrid → Templates → Shifts gives you a ready-made schedule to edit.
Stop typing the same schedule twice. Calgrid keeps Google Sheets and Google Calendar in sync, both ways. Try it free for 14 days →
